1. Introduction
Asian EFL Journal respects your privacy and is committed to protecting your personal data. This Privacy Policy explains how we handle personal data when you visit asian-efljournal.com (the "Website") or contact us, and tells you about your privacy rights under the UK General Data Protection Regulation ("UK GDPR"), the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations 2003 ("PECR").
The Website is a publication: you can read everything on it without creating an account or giving us any personal information. We keep the personal data we process to the minimum needed to run the Website and answer enquiries.

3. The data we collect
We may collect and process the following categories of personal data:
- Technical data — your IP address, browser type and version, operating system, referring page, pages requested and the date and time of each request. This is recorded automatically in server and security logs by our hosting and content delivery providers when you load a page.
- Contact data — your name, email address, telephone number and the content of your message, if you choose to email, call or write to us (for example to pitch an article, report an error or ask a question).
- Contributor data — if you write for us, your name, biography, professional affiliation and photograph, which are published alongside your work with your agreement.
We do not knowingly collect special category data (such as information about health, ethnicity, religion or political opinions) and we ask that you do not send it to us. We do not use advertising trackers or sell personal data.
4. How we use your data
- to deliver the Website to your device and keep it secure, reliable and free from abuse;
- to respond to enquiries, article proposals, correction requests and other correspondence;
- to publish and attribute work by our contributors;
- to comply with our legal and regulatory obligations and to establish, exercise or defend legal claims.
5. Our lawful bases
Under the UK GDPR we must have a lawful basis for each use of personal data. We rely on:
- Legitimate interests (Article 6(1)(f)) — to operate and secure the Website and to reply to people who contact us. We have balanced these interests against your rights and consider the impact on you to be minimal.
- Contract (Article 6(1)(b)) — where we work with you as a contributor.
- Legal obligation (Article 6(1)(c)) — where we must keep or disclose information by law.
- Consent (Article 6(1)(a)) — where we ask for it, for example before publishing a contributor photograph. You may withdraw consent at any time.
6. Who we share your data with
We share personal data only with service providers who help us run the Website, under appropriate contracts:
- Hosting and content delivery — our website hosting, security and image storage provider, which processes technical data to serve pages and protect against attacks.
- Web fonts — the Website loads typefaces from Google Fonts, which receives your IP address and browser information when fonts are requested.
- Email — our email service provider, which stores correspondence you send us.
- Professional advisers and authorities — where required by law or to protect our legal rights.
7. International transfers
Some of our service providers are based outside the UK, including in the United States and the European Economic Area. Where personal data is transferred outside the UK, we ensure it is protected by UK adequacy regulations, the UK International Data Transfer Agreement or Addendum, the UK Extension to the EU–US Data Privacy Framework, or other safeguards recognised under UK data protection law.
8. How long we keep your data
- Server and security logs are retained by our providers for short periods, typically no longer than 30 days, unless needed to investigate an incident.
- General correspondence is kept for up to two years after our last exchange.
- Contributor records are kept for as long as the related work is published and for six years afterwards for legal and accounting purposes.
9. Security
The Website is served exclusively over encrypted HTTPS connections. We use reputable providers with strong security practices and limit access to personal data to those who need it. No method of transmission over the internet is completely secure, but we take appropriate technical and organisational measures to protect your data.
10. Your rights
Under UK data protection law you have the right to:
- request access to the personal data we hold about you;
- ask us to correct inaccurate or incomplete data;
- ask us to erase your data in certain circumstances;
- ask us to restrict how we use your data;
- object to our use of your data where we rely on legitimate interests;
- request a copy of your data in a portable format, where applicable;
- withdraw consent at any time, where we rely on consent.

11. Children
The Website is intended for a general adult audience and is not directed at children under 13. We do not knowingly collect personal data from children.
